Before you launch, map the data.

A SaaS privacy policy is easier to write when you can explain how information moves through your product. Start with that map, then turn it into a document.

Follow a user through the product

Walk through registration, everyday use, support and account closure. At each step, write down what information enters the system, where it is stored, why you need it and when it is removed.

Include the services around your app: identity providers, payment processors, transactional email, error reporting and analytics. Ask the team responsible for each integration instead of relying only on what appears in the browser.

  • Registration: account details and authentication provider
  • Billing: information handled by you and by the payment provider
  • Support: messages, attachments and access to customer data
  • Operations: logs, backups and error reports
  • Offboarding: retention, deletion and account closure

Separate your business's data from your customers' data

A SaaS can use account details for its own business purposes while processing other information on a customer's behalf. Those activities may involve different roles and obligations. Describe the actual arrangement and obtain advice where the distinction is unclear.

Do not assume that a public privacy policy replaces a data processing agreement. Likewise, a provider's privacy policy does not automatically explain what your application does with the same data.

Make review part of a release

Use the map to answer the privacy policy questionnaire in Polimeo. Review the generated draft, publish it and add the URL to your footer and account flow. Add terms of service and a cookie policy where relevant.

Keep a short release checklist: new provider, new data field, changed purpose, changed retention period. If any answer changes, review the document before the product change goes live. You can prepare a new draft while the existing version remains published.
